Contract Details
This contract entitles you to a 10' x 8’ exhibit booth including: 8' high pipe and flame resistant fabric backdrops; 3' high pipe and flame resistant fabric side rails; carpeting; a booth sign with your company name; one six foot draped table and two chairs. Additional furnishings will be available, at an additional charge, through HOLLINS Exhibits if desired. Information about this will be included in the Exhibitor Services Kit, which will be sent to contracted exhibitors no later than August 1.
Neither the Virginia Health Care Association and its representatives or employees of The Hotel Roanoke and Conference Center and their representatives will be responsible for any injury, loss or damage that may occur to the exhibitor or the exhibitor's employees or property from any cause whatsoever. The exhibitor, or his representative, on signing this contract expressly releases the foregoing named Association, individuals, decorator, and center from any and all claims for such loss, damage or injury.
Representatives of companies that have not purchased a booth will not be allowed to show products, discuss services, or otherwise solicit business in the trade show area; that right is reserved exclusively for representatives of those companies that have purchased booths. Anyone who violates this policy will be escorted from the Trade Show and will not be permitted to re-enter for the duration of the convention.
Cancellation Policy
No refunds after July 1, 2025. Cancellations must be received in writing.
Cancellations for credit card payments subject to 10% service fee.
Failure to Occupy Exhibit Space: If space is not occupied 30 minutes prior to the opening of the Trade Show, Tuesday, September 16, 2025, this will be considered a no-show and the space will be forfeited by the exhibitor. This forfeited space may be resold, reassigned, or used by VHCA-VCAL without obligation.
Important Notices
By registering for and/or attending this event, I acknowledge and agree that photographs, video, and other recordings of the event may be taken by VHCA-VCAL or parties acting on behalf of VHCA-VCAL, and that these photographs, video, and other recordings may be used by VHCA-VCAL in any media now known or later invented for any purpose related to VHCA-VCAL’s mission, including education, promotional, and awareness-related use. I give VHCA-VCAL unlimited permission to use my name, likeness, image, statements, and other information I may give to VHCA-VCAL, whether through registration, at the event, or otherwise, that may be necessary for VHCA-VCAL to make use of its rights in the photographs, video, and other recordings.
Health and Safety Protocols

Our goal is always to keep our event attendees healthy and safe. As a precautionary measure, VHCA-VCAL asks attendees who are sick and/or have active symptoms of fever, cough, or shortness of breath to please refrain from attending our events for the benefit of all concerned. Substitutions are welcome for any registered attendees who must refrain from participating in an event due to exposure/illness. (See the Cancellation and Refund Policy for more details.)
The CDC recommends staying up to date with vaccines and testing if you have symptoms. Further, it says people may mask at any time.
Meetings and events held on-site at a long term care facility must follow the host facility’s protocols.
